POSITION SUMMARY:

Under the direct supervision of the Executive Director or Assistant Director, the Executive Assistant is responsible for assisting the Executive Director and Assistant Director with complex clerical, secretarial, and administrative duties for administrative, fund development, financial and personnel related activities in accordance with the policies established by the Board of Directors. Individuals in this position must keep multiple tasks on schedule, use tact and judgement, and preserve confidentiality of sensitive information.

Examples of Essential Duties:

May include but are not limited to the following:

  1. Perform a wide variety of complex, responsible and confidential secretarial and administrative duties for management personnel.
  2. Perform administrative projects for management personnel; research and compile background
  3. Screen calls and visitors for Executive Director and/or Assistant Director, respond to moderately complex requests for
  4. Types and files correspondence for agency activities including memorandums, reports or special projects for the Executive Director and/or Assistant Director. Organizes and maintains all of the agency’s management
  5. Takes and prepares minutes at meetings as
  6. Coordinates, schedules and maintains calendars, arrange meetings and
  7. Prepares agendas, reports and information for the Campaign for Community Wellness, including minor website updates. Prepares meeting room for monthly CCW meeting. Keeps current roster for CCW Members and maintains campaign Office 365
  8. Prepares agendas, reports and information for the Board of Directors. Prepares meeting room for monthly Board of Directors meetings. Keeps a current roster of Board Members and maintains file storage for Board of
  9. Projects a positive image of the agency with internal and external stakeholders/community partners; build and maintain positive working relationships internally and externally using principles of good customer
  10. Assists in public relations activities where needed, i.e., taking reservations, making nametags, coordinating food and beverages for meetings,
  11. Participates and assists in the coordination of fundraising, donor development and special event activities as requested by the Executive Director and/or Assistant
  12. Perform other related duties as may be

Minimum Qualifications of Education and Experience:

A combination of education and experience will comply to meet minimum qualifications.

  1. Associates degree or equivalent in business, administration, personnel or related
  2. Four years of increasingly responsible secretarial and clerical experience involving frequent public
  3. Skilled in typing, data entry, filing, record keeping, customer service, public
  4. Proficient with  Microsoft  Office  products  including  Word,  Excel &     Operates a personal computer, calculator, copy/fax machine and telephones in the prescribed manner.
  5. Must possess a valid driver’s license as required by the position. Proof of adequate vehicle insurance and TB, drug and fingerprint clearance are also required.

Knowledge, Skills and Abilities to:

  1. Principals and practices of working with boards, calendars, and
  2. Principals and practices of modern office policies, procedures and
  3. Principals and practices of customer service and public
  4. Principals and practices of communication – both orally, in writing, and for
  5. Understand the organization and operation of the agency and of outside agencies as necessary to assume assigned administrative
  6. On a continuous basis, sit at desk for long periods of time. Intermittently, twist and reach office equipment; write or use keyboard to communicate through written means; occasionally run errands; lift light
  7. Intermittently review documents related to department operations; observe, identify, and problem solve office systems and procedures; understand, interpret and explain department policies and procedures; explain and problem solve office issues for the public and with
  8. Prepare and review draft reports requiring analytical
  9. Compose general correspondence and
  10. Interpret and apply administrative, departmental, local, state and federal policies, laws, and
  11. Preserve confidentiality of sensitive material routinely encountered as part of work
  12. Develop and recommend policies and procedures related to assigned office
  13. Supervise, train and evaluate assigned clerical
  14. Operate and use modern office equipment including personal
  15. Analyze situations carefully, recommend solutions, and adopt effective courses of
  16. Plan, organize and schedule priorities in the
  17. Compile and maintain complex and extensive records and prepare
  18. Communicate clearly and concisely, both orally and in
  19. Establish and maintain effective working relationships with those contacted in the course of
  20. Work with various cultural and ethnic groups in a tactful and effective
  21. Take notes and write summaries of

Salary:

Base Salary $17.76 full – time permanent
